Clearly and accurately written instructions are an essential part of professional environments. They require using fundamental writing skills, an imperative tone, active voice, present tense, audience consideration, visuals, and clear delineation of the five parts of instructions detailed in the text. Using these guidelines will help you write instructions and procedures that your audience can easily understand.
In this week’s Assignment, you will be asked to write instructions for three sets of audiences.
To prepare for this Assignment:
Review Chapter 12 in the course text. Consider written instructions you have either authored or received at work. How do they compare with the guidelines in the text?
Choose a scenario from the following list:
You have been asked to write a document about the company policy that requires recycling of paper products in your office.
You have been asked to develop a written communication to convey a message about a new client who will be visiting to tour the workplace.
You have been asked to write a document about a publication or an article that you have found that may be of benefit to others (e.g., journal article, news story, etc.)
Outline how you would write this note to your boss as compared to a coworker or someone who works for you. How would these notes be different? Why?
Review the level of formality that you use when writing professional communication.
By Day 7
Submit a document that contains the following:
Identify the scenario that you chose.
Based on the scenario that you have chosen, you will write three separate, half-page e-mails to the following groups:
Leadership/management
Coworkers
People who work for you
After the e-mail to each group, write a one-paragraph explanation of how you revised the message for that particular group.
Cite two examples from the reading to support your explanations.
